What do you want to do in the administration portal?

 

The Cloud Phone administration portal is where you manage your sites and users. You'll find it at cloudphone.spark.co.nz/control/main

The home page is a dashboard that gives you quick access to some common administration tasks,  aggregated call activity and a quick overview of inventory information across the company.

On the left of the screen is a menu of options. Selecting the three stacked lines underneath these options will minimise the sidebar.

At the top right of the main pane is where you select which site you'd like to view or make changes to. Above this, at the top right of your browser window, you'll see your name and profile picture. The drop-down menu next to it has options to manage your account.

Sign in to the administration portal

  1. Open the administration portal
  2. Enter your administrator username. This will be in an email you received.
  3. Enter your password. If you're signing in for the first time, you'll receive a separate email with your temporary password.
  4. Select Sign In.
You'll be prompted to change your password every 90 days.

Create business hours and holiday schedules

  1. Open the administration portal
  2. Select the Forgot Password link.
  3. Enter your username.
  4. Select OK.
  5. You'll receive an email with your temporary password. If you haven't received it within 10 minutes, check your junk folder.

If you're the conference host you can use your phone's keypad to control options during the conference. The most common options are:

  • *9 Start or join a sub-conference
  • *2 Start or stop recording the conference
  • *7 Lock the conference
  • #7 Unlock the conference
  • *# Get a count of the participants in your conference
  • *4 Take a private roll call
  • #99 Disconnect all participants except the host
  • *3 Change the entry or exit method
  • *5 Mute all participants
  • #5 Un-mute all participants
  • *0 Get operator assistance
  • ** Hear a list of the available keypad commands
  • *6 Mute your own line
  • #6 Un-mute your own line

Things to note:

  • Don't use any hold functions on your phone during the conference. They may play music or tones into your conference.
  • If you need help, dial *0 to speak to an operator

The conference host can record the conference.

  • To start recording, dial *2
  • An announcement will tell participants that the conference is being recorded
  • To stop recording, dial *2 again
  • You can download the recording after the meeting ends. The conference owner will receive an email when it's ready for download in the Intercall Online (IOL) portal.
  • Send an agenda in your meeting invitation so everyone can be prepared. Let everybody know what time the meeting starts, the access number and conference code.
  • If you're going to discuss a document, send it to everyone before the meeting
  • Identify yourself before speaking
  • Make introductions
  • Locate the microphone centrally and avoid noise such as rustling papers
  • Use the mute options during the conference to reduce background noise
